Not just a small section is left which relates to integration with teams Word and Excel. And then you have you would have completed the course. Thank you.
- Integrate With Teams
In this lecture we’ll talk about integration with teams. So what is teams? Teams this is Teams and Teams is basically a collaboration tool from Microsoft where you can chat with one another, you can create and share files with one another and do all kinds of collaboration stuff. So let us go to Power Apps again and these are all my apps. So if you click on any apps app you have an option to add two teams. So if I say add two teams it will give me these options. It will give me the name of the application, icon, description and I can say, I can say add two teams or I can say download app. So let me download the app and it will download this application as a Jip file. So it has downloaded it as a Jiff file. So here it is as a Jiff file. So what if this file has this color of the application outline and manifest.
So I have this GIF file here. If I click here again and add two teams, I have an option here also to add two teams so it will open up teams. We don’t want to do that as of now and I’ll close it now when you add two teams you can upload this Jeep file. Then if you make any changes to your application, it will get automatically reflected in your teams. But there are three things which does not get automatically updated. So here is my application. If I go to my file and go to my settings, I can see name, icon and description. Now if I change name, icon or description of my application, it will not get automatically updated on Teams. You will have to upload the file again but in case you add a screen to your canvas app or do any functional changes, those will get automatically reflected.
So I have changes. So let me use a different icon and update the description and let me save it. So let me delete this one so that I can download this updated version of the application. So while it is saving, let us look at Flows. You can also integrate Flows with teams. So if I create an instant cloud flow and name it as Teams, let us create it so it is published. So what I will do is I will go back and see this icon will be if I click on my apps again, the icon should get updated. So now I can click on it and say add two teams and then download it and this is downloaded. So once this is downloaded I can go to my teams and go to Apps here and say upload a custom app and this is my chip file, I’ll open it, I will get this and then I can add it to my tips. So once I add it, let me go to my apps again, upload and add it.
It is adding receipt to salesforce. Okay, let me go to so sorry, I uploaded Object Detection. I have to add this one. So I’ve added object detection application. And here I see Object Detection application here and it has added, it is showing some error but it has added the application also. What I can do is I can go to App Studio. In case you don’t have App Studio, you can always go and install it. And you have two options here, create a new application and import an existing application. So I can also from here I can say import an existing application and import it. And then I will come to the screen, I can click on Application details and it will show me all the details. And then I have to go to test and distribute and install my application in Teams. And here from here also I can add.
So there are two ways you can add. One is from App Studio and one is from these applications. So, see, I have this object detection application here. So coming back here, we have updated these three fields here and then added it to Teams. You can also integrate flows with Teams. So here what you can do is click on Teams. I have Teams here and here you can create a channel. So you can get a name of your channel here and then select the team and create a channel here. Let us set here. So then this is rated to Exam objective of integrating PowerApps in Microsoft 365. And under that you have add apps to Microsoft Teams. Create Teams app from Power Apps app and create an app directly in Teams. So we see how to add an application to Teams. We created a Teams app from Power Apps app and then we created it practically within the teams.
So within Teams if you go to Web Studio, you have one more option. You create a new app. So here, this is visible here now. And when you say create a UF here, you can give the app ID and name and all and then you can link your existing Power Apps app here. Now, Teams is basically collaboration tools with messaging and you can set up meetings here and do file sharing. So we are adding power apps to teams. We clicked on our app and clicked on Add to Teams. Then we got this dialog on the right hand side and we can say Add to Teams or download it and upload it to Teams. Now, if I update and publish an app, it will reflect on Teams accept icon, name and description app. In these three things you have to upload your app again. Then this is Teams and from here you can upload, you can click on Apps and upload your custom app.
Then you add it and it will show up. Or you can go to App Studio and either click a new app or import an existing app using your Jig file again you will get the same icon and you can put all these details. Then go to Test and Distribute and click on Install so it will install it go to Power App Studio again go to Home. I looked at this for it test and distributed click on Install so same dialog box we’ll get then we saw on Power Automate you can add your Create your team’s channel through Power Automate also and that’s about it. So there are various options like you add your application from Power Apps to teams then within teams itself you can add the application or create a new application and within Flow also flow is also integrated with teams and you can do various actions. - Word Templates
In this lecture we’ll talk about Word templates. So what we can do is we can create a template in a word, arrange our information in a specific format and then download the information from PowerApps in that specific format. So let us look at it. If I go to my PowerApps and click on this button and go to Advanced Settings, I have to go to set up my templates. So here I’ll click on business and then templates. Let us come up so Settings, business and then Templates. Here I can create two types of templates. One is Excel Templates and Word Templates. Here we’ll talk about Word templates. So I have to click on Document Templates and see I already have one x, one Word template. So let me create another one. And here I will download my Word template. When I’m downloading a template I have to link it to Entity.
So I’ll click on Word template and link it to account entity. So I click on select Entity and I have to give related entities also which are related by one to end relationship with the Count and to one with Accountant and to end with Account. So for here I will link it to Account contact Entity. So here is Contact and I will download so it has downloaded here let me rename it so that we can easily identify it. Open the template. So once it opens up in world I will enable editing on it. And I see my developer tab here. But if you don’t see it, what you have to go to is go to File option, click on Customize Ribbon and here your developer checkbox should be selected. What you should also do is go to proofing, click on Autocorrect and Deselect capitalize the first letter of sentence and automatically use suggestions for spelling chapter and go to Auto Format and deselect high funds with Dash.
So once you’ve done that you go to your developer tab and click on XML Mapping page. So in case when you do that you get XML Mapping and from here you select this one account one you and Microsoft account. Once you select that you will get your account here. These are all the fields of an account and then in the bottom you will get contact because we added contact also and all the fields of the content. Now let us create our template. So first we will have Name. We right click you set control and we use plain text. So we have name field here. So let me say account details. Once I have name field then let me add website, URL, plain text then address line one, address line one, line one.Then city.
Then I’ll put a comma here and state province here it is state province and then country. So I have my account details here. What I can also say is contact details and insert it. And if I go to my contact entity here I can add some fields here email address one we look at the fields for contacts which we need to add and maybe last name. Last name all right, I can save it and close it. Now go back to my Power app and upload the template. I’ll browse it go to download and upload my template. So it is uploaded here. Now this mind is this is the name and on all other details and it is activated. So let me go back to my settings and see. It is present here. Now what I have to go is do is go to my Power apps and applications and look at the model driven application which we created earlier.
This one. Now here I see all my accounts. So let me go to a specific account and click on these three dots world Templates and see we have this test account here which we just created. So notice exporting to Word and saving it, it has saved it. Now this is the file it has created and you see it has exported the account details from the application to this world document. So we’ll walk through the steps again here. So this is related to example objective of configuring use Microsoft Word and Microsoft Excel templates. We’ll talk about Excel. Next lecture we’ll go to Advanced Settings, then Business Templates and then Document Templates. Then we create a new template here we created a Word template and for account then we have to select related entities. We select contact.
Then on Word we enabled the developer option so that we can make changes to it. Then we click XML Mapping pane. So we got XML Mapping pane on the right hand side and we selected this option and then started inserting fields using right clicking on the field and clicking plain text. Then in Word what we did was we unchecked capitalized first letter sentence automatically used suggestions for the spelling checker and in auto format if it dashes. So this was under Files options, roofing and autocorrect options. Then we created a template with these fields and contact field. Then we uploaded the template. It showed up like this and showed in the list view. And then we went to model driven application and was able to get the data. So that’s it for this lecture. Thank you.
- Excel Templates
We’ll talk about Excel templates in this lecture. So like, we got information in a world format in earlier lecture, we’ll get information in Excel format in this lecture. So what we’ll do is we’ll go here and then again go to Settings, Advanced Settings and Settings, business Templates, Document Templates and New. Click on Excel account and we have to use Save View. Then here we have an option of edit columns also. And we can change the options, the columns in the view. So we have this screen. But here what you can also do is close this and go to your application. And in Excel templates you can download a template from here. Also if you download a template from here, you can select Entity View and click Edit columns here.
Here you get order columns and you can make any changes here also. And then download the template. So this template is downloaded. So this is our template. So you see that you have all the data here. So let me close it and rename it as again test so that we can differentiate it. And then back in Power apps, in Excel templates, we can upload our template so we can upload it from here and it is uploaded.And here we start getting this option. And if you click on that, I can download and save and I can get data on my template. We can always change this template so that we can get the data in the required format. Let us also see if I go here then. Okay. All right, so this is what we did.
We went to again, this is the same objective we went to Advanced Settings Templates and Document Templates. And here we have an option to select a view and edit columns. And this is the edit column screen. But then you can do the same thing from your Power apps itself. You don’t need to go to Settings. You can download a template, select Entry and View and select Account columns. Now, this is a more friendly view. Then you upload your template. You can upload it from Power apps as well as setting space. If you do, you get the same screen and you get all the templates listed here. And then you can download the dartinger template.
